For years, smart building conversations have centered on connected sensors, automated systems, and operational efficiency. But the conversation is shifting. As organizations juggle hybrid work, sustainability mandates, and cost pressure, they’re taking a harder look at a deceptively simple question: How should we use our physical space? That question sits at the center of our new report, Navigate The Space Optimization Solution Ecosystem, the first in a new series designed to help technology, workplace, facilities, and real estate leaders make sense of an increasingly crowded smart building technology landscape. Space optimization is one of the most immediate and measurable ways to get more value from smart building investments.

Who Does What — And What’s Core, Enhanced, Or Advanced?

Space optimization sounds straightforward — until you look at the vendor landscape. There’s a long list of players that do some version of it, often alongside other smart building capabilities. Occupancy sensing and utilization providers, desk and room booking tools, integrated workplace management systems (IWMSes), and building management systems (BMSes) all show up in this market. Many also bundle space optimization with energy management, maintenance, employee experience, or portfolio planning. In other words, navigating this ecosystem is no easy feat. If you seek out the vendor names and what they’ve got, check out the report. But here are three broad types of capabilities to look for:

  • Core features show you how space is actually being used. These features answer the basic but essential questions: Which spaces are occupied, when are they used, and how much capacity is sitting idle? Sensors, Wi-Fi, Bluetooth beacons, utilization dashboards, and room reservation tools help organizations see patterns and make better day-to-day decisions about desks, offices, and meeting rooms.
  • Enhanced features connect space data to building operations. This is where space optimization starts to affect workflows beyond room booking. When utilization data connects with building systems, organizations can adjust HVAC, lighting, and power based on actual demand, while automated alerts help facilities teams spot issues before they become bigger problems.
  • Advanced AI-driven planning tools test scenarios and right-size the portfolio. AI-driven space planning, digital twins, and portfolio optimization tools help organizations forecast future demand, test different workplace scenarios, and use occupancy data as a strategic input for long-term real estate and workplace decisions.

What To Get Right Before You Deploy A Space Optimization Solution

The technology matters, but deployment success depends on more than picking a vendor. Organizations need to connect the right systems, define what success looks like, and make sure the solution can grow with changing workplace needs.

  • Connect space management with workplace and building systems. Space optimization gets more useful when it pulls from the systems organizations already rely on, including desk and room booking platforms, occupancy sensors, badge access systems, IWMS platforms, visitor management systems, and BMSes. Without those integrations, teams risk getting another dashboard instead of a better operating model.
  • Define the metrics that matter. Space optimization should tie back to measurable outcomes across real estate, operations, sustainability, and employee experience. Useful metrics include utilization rates, occupancy levels, meeting room usage, desk sharing ratios, and energy consumption. The key is to decide up front which metrics will drive action, not just reporting.
  • Make sure the solution can scale with the workplace. Hybrid work, organizational changes, and shifting business priorities will keep changing space requirements. Evaluate whether a solution can support one floor today, multiple buildings tomorrow, and campus or regional expansion over time.

If your organization is trying to make sense of space optimization strategies, vendor offerings, or how these tools fit into broader workplace objectives, please feel free to schedule a guidance session or inquiry call with me.
